Job Title:                             Program Assistant – Service Strategy

Reports to:                              AmeriCorps Program Director and Director of Service Strategy

Employment Type:             Full-Time, In-Person (no remote options available) Monday – Friday, 9:00am – 5:00pm

Essential Functions

The Program Assistant will provide administrative and operational support to MCAN’s AmeriCorps programs AdviseMI and College Completion Corps. The person in this role will oversee the onboarding process and compliance maintenance of members, manage enrollment in program systems, and maintain personnel records. The Program Assistant will also provide overall administrative support to the programs, including in areas of event planning and data tracking, to enable the programs to contribute towards MCAN’s Sixty by 30 goal.

Duties and Responsibilities

◾       Assist with program scheduling, coordination and logistics.

◾       Support member hiring process with specific focus on working with candidates to ensure accurate completion of required documents.

◾       Update program-specific databases and spreadsheets in an ongoing manner as needed.

◾       Create and modify documents such as forms, policy documents, and communications, using word processing, spreadsheet, database, and/or other presentation software.

◾       Effectively communicate with programs staff and members and other stakeholders in order to ensure compliance and effectiveness including via phone, email, video conferencing, and Slack.

◾       Work with the finance team and Program Director to support the process of renewing and tracking host site agreements, invoices and payments.

◾       Track and monitor program-specific data, timesheets, expense requests and reporting, including compiling information, to be used on an ongoing basis for member support and program decisions.

◾       Work with Strategic Engagement to carry out processes for member recognition, including on social media and websites.

◾       Work with program staff to ensure platforms are up-to-date, including the website, the Resource Hub, ADP, and Monday.com.

◾       Assist in the documentation of program policies and procedures.

◾       Support the AmeriCorps Programs Director in the administration of the program including specific grant/funder requirements.

◾       Actively engage and participate in MCAN staff meetings, being a contributing member of MCAN’s and the Service Strategy Department’s planning, evaluation, continuous improvement, and sustainability.  This includes identifying needs and gaps in program and organizational effectiveness and using initiative and creative problem-solving to propose solutions. Work across the organization to coordinate, collaborate and amplify all work.

◾       Serve as a contributing member of the MCAN team and provide leadership in increasing postsecondary access and success on behalf of the organization and in support of the strategic plan. This includes finding ways to build an anti-racist internal and external culture.

◾       Employ Targeted Universalism to move the needle on MCAN’s college access dashboard metrics.

◾       Other duties to support the program and advance MCAN’s goal of 60% of Michiganders with a postsecondary degree or certificate by 2030.

Priority will be given to candidates with:

◾       A Bachelor’s degree in a relevant field.

◾       Prior experience or knowledge of AmeriCorps.
