Position Summary:  
The Development Operations Coordinator (DOC) of Michigan Opera Theatre (MOT) is responsible for providing both donor relations and crucial administrative support to the Development team. This role is essential to the overall goals of this dynamic fundraising team, which is tasked with securing financial support from individuals through portfolios covering major gifts, annual giving, and legacy giving, as well as institutional partnerships. The DOC is an excellent multi-tasker and an enthusiastic advocate for MOT’s programming, performances, and mission, utilizing strong communication skills to effectively correspond with MOT contributors, while employing a strong attention to detail to support the Development team in operations and data reporting.

Reporting Structure:  
The DOC reports to the Senior Manager of Information Systems

Key Job Responsibilities: 

  • Produce gift receipts and individualized acknowledgement letters for all gifts.
    Oversee and perform entry of gifts, contributions, and pledges.
  • Perform regular data audits and assist in resolving data integrity issues.
  • Assist supervisor and finance department in completing month end reconciliation.
  • Work in collaboration with the Senior Manager of Information Systems to perform routine maintenance tasks of the fundraising software, as required.
  • Develop and distribute tutorials, processes, and procedures on fundraising software and tools, especially related to Tessitura.
  • Coordinate and execute procedures and guidelines to ensure the quality of data and assist the Director of Development Operations and development team with analysis.
  • Conduct direct mail campaigns through managing production, timing, and mailing of appeal letters.
  • Identify and drive solutions and processes to assist with ongoing development of  Telefund campaigns.
  • Conduct regular performance analysis of campaign activity to refine efforts and improve ROI.

Required Qualifications: 

  • Associate’s degree, or equivalent combination of education and work experience
  • 2 years of relevant customer service experience
  • Strong technical skills including proficiency in Microsoft Office suite and database applications
  • Demonstrated interpersonal skills, including the ability to initiate, cultivate and maintain relationships easily
  • Demonstrated, strong verbal and written communication skills
  • Ability to work flexible hours, including some evenings and weekends, during the September-May performance season.
  • Ability to understand diverse perspectives and acknowledge the significance of differences and complexities in background, cultures, values and viewpoints as the foundation for an inclusive environment.

  • Knowledge and experience working with Tessitura

Essential functions/physical demands:

  •  The person in this position occasionally works weekends and evenings to accommodate necessary data entry and participate in other Development activities.
  • The person in this position occasionally remains in a stationary position for periods of time
  • The person in this position occasionally moves throughout the building to access files
