Title: Accounting Assistant

Location: Okemos, MI – In-Person Work Required
Purpose: Under the direction of the Accounting Manager, the Accounting Assistant provides accounting support to the Finance & Contracts Central Administrative Office. Duties include Entering subcontractor invoices; electronic filing, mail, JV review, and performing a variety of special project work. This position will also assist with special projects and serve as an overall resource to the finance department.
Duties and Responsibilities:
- Enter subcontractor invoices in line with the terms of the subcontract. Review subcontracts for signature, invoicing period, amounts and terms.
- Prepare weekly summarization of third-party flexible spending account activity report and prepare for entry into the accounting system.
- Responsible for retrieving, distributing, and dropping out‐going mail (this task is split with other accounting assistant.) Retrieve and coordinate Building 1 Interoffice and US postal mail: open, date stamp, and distribute to the appropriate person.
- Maintain Electronic Accounts Payable files for MPHI. File information in a timely manner; generate new folders as new vendors are created; reviews and archives as needed.
- Review entered JV’s and move completed JV files to appropriate completed folders. Write up correction entries for errors and/or work with F&C for reversals/re-entry where appropriate.
- Perform journal voucher completeness check monthly.
- Complete monthly check control log.
- Assist with preparation of work papers; account reconciliation; and other tasks as assigned for the annual audit.
- Interprets and relays sensitive and/or confidential information as appropriate.
- Assist with special projects and other administrative tasks as requested.
- Maintain positive, credible and professional interpersonal relationships and represents the best interests of MPHI at all times.
- Perform other duties as assigned.
Qualifications/Requirements:
Education: Possession of a high school diploma or equivalent required; some college experience and/or training in business skills/Accounting preferred.
Experience: A minimum of one to three years’ experience in office or other business setting, which includes regular contact with a wide variety of people and progressive responsibility for clerical and administrative duties. Microsoft Office experience required. Some accounting experience preferred.

- Must be comfortable functioning in a fast paced, changing team environment.
Work Environment and Physical Requirements: Job may require moderate physical effort including lifting materials and equipment of <35# and involve viewing CRT or VDT screen 50 to 75% of the time. Standard office environment. Job requires valid vehicle operator’s license where needed to perform the duties of the position.
RESPONSIBILITY FOR THE WORK OF OTHERS: No assigned responsibility.
IMPACT ON PROJECTS, SERVICES AND OPERATIONS: This position will ensure the smooth operation of the MPHI administrative office. This position will allow MPHI’s Central Administration functions to operate efficiently and will provide support to all MPHI employees.
